Costs

The company's cloud and SaaS costs in one place, with budgets, alerts and correct bookkeeping for reverse-charge supplier invoices.

What it covers

The Costs page (/costs) collects what the company spends with cloud and software providers (Google Cloud, Azure, AWS, Vercel, GitHub, OpenAI and others) in the standard FOCUS format, per company and, optionally, per space or app.

Automatic import from provider accounts starts with the connectors. Until then you can set up connectors, budgets, subscriptions and reconciliation, and the pages say plainly that no data has been imported yet.

Sections

  • Overview — this month's cost per currency, the month-end forecast, the most expensive services and the total of SaaS subscriptions.
  • Usage — the month's costs grouped by service, account or region.
  • Connectors — the link to each billing account. Credentials are encrypted and never shown again after saving. You also choose the expense account (628 by default) and the supplier from your contacts.
  • Budgets — a monthly limit per company, provider, service, space or tag, with alert thresholds (50 %, 80 %, 100 % by default).
  • SaaS subscriptions — paid services with no usage data (for example a yearly plan), with their monthly equivalent.
  • Reconciliation — the link between usage and the supplier's invoice.

How a cost reaches the books

  1. At month end, for each connector, Accrue month posts 628 = 408 (suppliers — invoices not yet received) at the BNR rate of the last day of the month. The rate is stored on the reconciliation.

  2. When the invoice arrives, you enter its total. If the difference from usage exceeds the tolerance, it is flagged. The difference is never booked automatically.

  3. The reverse-charge invoice is created from the reconciliation, with the supplier's invoice number and date:

    • EU supplier (for example Ireland) → intra-EU purchase of services: D300 rows 7.1 and 22.1 and type S in D390;
    • non-EU supplier (for example the US) → reverse charge: D300 rows 7 and 22, no D390;
    • Romanian supplier → not this flow; the invoice comes through SPV with VAT.

    The invoice lands in Received invoices as pending review. Only approving it posts it (628 = 401 and 4426 = 4427), and the 408 accrual is reversed on the invoice date so the expense is counted once.

Permissions

Viewing needs read access. Connectors and budgets are changed by administrators only. Accruing a month and creating the invoice need write access.

API

The same data is available to integrations under /v1/costs with an API key or an OAuth app:

  • costs:read — the month overview (GET /v1/costs), usage (/v1/costs/usage), connectors (/v1/costs/connectors, without credentials), budgets, SaaS subscriptions and reconciliations.
  • costs:write — create and delete budgets, record, pause and delete SaaS subscriptions. Each change is written to the audit log with the key as the author and accepts an Idempotency-Key.

Connectors (they hold credentials) and the accounting steps (accrual, reverse-charge invoice) are done only in the app. Amounts are whole cents of their currency; the month is YYYY-MM in Romania's time zone.
